Avoid Mail Delays by choosing Electronic Delivery of Official Transcripts - National Student Clearinghouse

We encourage students to take advantage of electronic delivery of their official transcripts (if and when accepted by the recipient). Most orders for official electronic transcripts are processed and delivered the same day during and after normal business hours.

Welcome to South, home of the Jags, from the Office of the Registrar! The University of South Alabama has contracted with the National Student Clearinghouse to provide convenient online ordering for students and alumni to request official transcripts. This service is available 24 hours a day and 7 days per week with the exception of major holidays. For expedient service, we encourage students and alumni to order via the National Student Clearinghouse as most requests are processed within 24-48 hours. Transcript orders received by mail are processed in the order received. Due to the high volume of transcript requests received, the processing time is extended to 2-3 business days during the two-week period prior to and following a semester. Please refer to the Academic Calendar for University holidays and closure.

How to order Official Transcripts (Choose one):

The University of South Alabama has authorized the to provide transcript ordering via the internet.

Ordering Official Transcripts via the National Student Clearinghouse

  • Go to the

  • If you are a first-time visitor, you will be directed to create a personal profile and user ID/Password, which you can use to place future orders.

  • The site walks you through placing your order, including delivery options and fees. You can order as many transcripts as needed in a single session. The fee is $15 per copy plus a $4.70 processing fee for mailed paper copies and a $3.90 processing fee for electronic copies (charged per recipient).

  • To ensure confidentiality and to comply with federal regulations, you must complete the Consent to Release form. You can submit either a printed or a paperless consent form to the Clearinghouse.

  • You may attach two additional forms to your transcript request. Acceptable forms are as follows: Law and Medical Applications, Nursing Board Forms, Scholarship Applications, Admission Application, and FedEx Account information. The following formats will be accepted: pdf, doc, docx, gif, jpeg, and bmp.


National Student Clearinghouse Transcript Delivery Options

  • Electronic Exchange - Transcript will be sent via Electronic Exchange (ETX). Only available when sending to partner Electronic Exchange institutions.

  • Electronic PDF - Shortly after your request is processed by ³Ô¹Ï±¬ÁÏ, your transcript recipient will be emailed a link to a secure Internet page to retrieve your official transcript. Upon that email notification, your credit card will be charged. The National Student Clearinghouse guarantees that your recipient is notified when your transcript is ready for retrieval at the email address you provided at the time you placed the order; however, the University is not responsible for determining if the recipient retrieves or accepts the transcript. We suggest that you contact your recipient and verify that your official transcript sent via this delivery method is acceptable. The accuracy and correctness of the electronic transcript is solely the responsibility of ³Ô¹Ï±¬ÁÏ.

  •  Mail -  Transcript will be mailed to the recipient via regular 1st class US mail within 3 business days of receiving the transcript order. 
â–¼   Paper Form - In Person/Mailed Request (Standard mail or pick up)

Transcripts may be ordered in person or by mail by completing the Transcript Request form available in the Registrar's Office or online.

  • In Person request for transcripts can be made at the service counter of the Registrar's Office located in Meisler Hall, Suite 1100.
  • Request are accepted Monday - Friday from 8:15 a.m. to 4:30 p.m.
  • Official transcripts are $10 per copy. Mailed request must be accompanied by a check or money order. Request will not be processed until payment is received.
  • Processing time generally takes two to three business days upon receipt of the transcript request. One week should be allowed for a request made at the end of any semester.

In Person/Mailed Request Transcript Delivery Options

  • Mail -  Transcript will be mailed to the recipient via regular 1st class US mail within 3 business days of receiving the transcript order. If you selected a processing option of AFTER 'Grades are Posted' transcripts will be available 3 days after final grades are posted at the end of the term. If you selected a processing option of AFTER 'Degree is Awarded' transcripts with degrees will be available 10 days after final grades are posted at the end of the term. 

  • Hold for Pickup - Transcript will be available for pickup at the Registrar's Office within 3 business days of receiving the transcript order. If you selected a processing option of AFTER 'Grades are Posted' transcripts will be available 3 days after final grades are posted at the end of the term. If you selected a processing option of

    AFTER 'Degree is Awarded' transcripts with degrees will be available 10 days after final grades are posted at the end of the term. 

Please Note: If picking up a transcript in person, a picture ID will be required.

â–¼   Unofficial Transcripts - Currently Enrolled Students

Unofficial transcripts are only available to currently enrolled students through PAWS.  The Office of the University Registrar does not issue unofficial transcripts. The unofficial transcript cannot be used as an official document.

  • Login to your PAWS account
  • Click Student Services & Financial Aid

  • Click Academic Transcript (Unofficial)
  • Choose all Levels and Web

  • $18.90 per official electronic delivery transcript via National Student Clearinghouse
  • $19.70 per official mail delivery transcript via National Student Clearinghouse
  • $10.00 per official transcript via written request form
  • No charge for unofficial transcript via PAWS Self-Service processed by student

Check/money order made payable to University of South Alabama for written requests only. Credit card: Visa, MasterCard, Discover, American Express (include credit card number and expiration date)

Federal Express/Express Mail Packages
For Federal Express delivery, go to and set up an account. You will be provided a 9-digit account number. You must use a physical address. does not deliver to post office boxes. Include the account number on your written transcript request form prior to submitting it. If using an online service, email the account number to transcripts@southalabama.edu along with your full name, Jag number and the physical address as entered on the online services.

Self Managed Packages
For transcripts being submitted as part of a packet or as hand-delivered, request a self-managed transcript. The self-managed package is indicated with "issued to student for self managed package" stamped on the transcript. It is placed in a sealed envelope marked as "Official Document" on front. The self-managed package will be determined as "official" or "unofficial" by the recipient. The student is responsible for determining the recipient's policy for self-managed packages.

Third Party Information
Transcripts sent directly to third party businesses or schools are "official". A third party cannot pick up a transcript without written permission from the student. Picture identification is required to pick up a requested transcript.

â–¼   ³Ô¹Ï±¬ÁÏ Transcripts for ³Ô¹Ï±¬ÁÏ Graduate School Applicants

³Ô¹Ï±¬ÁÏ students, with the exception of Prospective Graduate Nursing and Graduate Allied Health Majors, applying to ³Ô¹Ï±¬ÁÏ graduate programs should complete a transcript request form which can be found on the University Registrar's Office website. In the Name/Organization field for the transcript recipient write, "³Ô¹Ï±¬ÁÏ Graduate School". There is no charge associated with these requests. Completed forms can be faxed, mailed, or hand-delivered to the Registrar's Office.
